Part I: Planner
Repetition of the Basic Concepts of Effective Planning (SMART)
- List all the expectations of the project (What? )
- Structure the project into deliverables and sub-deliverables (simple WBS)
- This Working Method makes it possible to identify the stakeholders in the project (Who? )
- Once the Who Will Do What identified we can establish
- Task Durations (How Much? Time/Budget)
- The How? and When? perform tasks
- In order to determine the Total Duration of the Project (Start-End) most accurately
Putting it into practice
Based on a structured example, set up all the features of Planner
Features
- Creation of a Public or Private Plan (Project)
- Encode the list of tasks to be performed
- Set up tasks: Name, Due date, Assignment
- Move / Delete / Modify
- Assign labels (color code)
- Compartmentalize the project (Notion of Deliverable)
- Tips & Tricks
Manage the project visually
- Filter project content by Deadline/Priority/Progress/Color-coded Label/Bucket/Assignment
- Group by Compartment/Assignment/Progress/Due Date/Label/Priority
- Track progress in the form of Table/Graph/Calendar
Analyze the collaborative impact of Planner
- Analysis of the impact of Planner in YOUR Outlook 365 email and that of those who collaborate with you in your daily projects.
MS Planner is part of the Office 365 suite and is fully integrated with other Office 365 applications. If you’re already using Microsoft Teams, you can host a Scheduler plan in your Teams workspace, so everyone can access it.
Part II: Teams
Microsoft didn’t invent anything, it simply “virtualized” your old “face-to-face meetings”
The Teams >< Outlook work philosophy
Teams and Outlook 2 communication and sharing tools with a different scope
- Understand the difference between a transmitted and interactive communication and depending on the situation know how to properly use Teams and / or Outlook
The difference between the 2 main parts of Teams
- The one used to Communicate (formerly called Skype or Skype for Business)
- The one used to Collaborate (Work in “teams” / “teams”)
This To know when to use one or the other effectively and appropriately
The Communication with Teams component
The 2 types of communications in teams
- Informal communication (request for quick information)
- Make a call to one or more people in Audio and Visio
- Exchange text messages (Chat – Conversation)
- Formal communication by sending an invitation to participate in a “virtual meeting”
- From Teams or Outlook (Calendar)
The teams communication console
During virtual meetings
- View the list of other participants
- Chat (written conversation)
- Raise your hand to ask questions
- Display or not the camera image
- Turn on/Mute
- Share my screen
- Leave call / Join call (meeting)
Find all the info
- Meeting invitation links to join them on time
- What happened in my absence (Activities)
- Find old conversations and relaunch new topics (Chat – Instant Meeting / Scheduled)
The collaboration component with Teams
Let’s review some notions of project management
- The 7 big questions
- Be SMART
- Deliverable Structure and Product (WBS) > What?
- RACI Matrix> Who?
Integration of a new Planner linked to the Teams team
Collaborate with others in my organization
- Establish a structured action plan
- Build a new project team
- Assign to this project the list of people who need to intervene
- Assign a role to my project team members (member/owner)
- Structuring this team into channels
- Tabbed channels
PART III: Onenote
- The general channel to store the specifications of your project
- Using OneNote 365 to document & structure CdCh
- Compartmentalize the note box into Sections (deliverables)
- Structure sections into Pages and Sub-Pages (sub-deliverable/Product)
- Encode in pages
- document Channels / Teams
Continuation of the collaborative part of Teams
- Once the structure is completed, communicate effectively
- With 1 or more people
- Send a message to the channel
- Organize work meetings
- Informal communication (instantaneous)
- Formal communication (via invitation)
- Collaborate around the same document (Word, Excel, PowerPoint, OneNote)
Collaborate with people outside my organization
Some Teams options are not available to them for various reasons that you will not be able to control such as
- The fact that they use a Mac/Linux…
- That they use a WebApps version of Teams and not the desktop app
- That their Teams account is set up incorrectly (you are not their IT)
Practice exercises
The course is entirely built around a practice exercise understandable to all during which all participants collaborate (interact).
